Medical Records Management

8:00 am - 4:30 pm Monday through Friday
Pulls, files and maintains all medical records ensuring patient charts are current and available prior to scheduled appointment(s); ensures all patient information is updated for provider review and evaluation.

Responsible for coordination of all internal documents, including but not limited to:

-prescription refills

-lab results

-referral requests

-nursing home requirements/corresponding forms

-patient education materials

-assembles new patient medical records ensuring correct labels, color codes and divisions per provider(s) specification

-accurate and efficient filing of all transcription, correspondence, lab reports, hospital reports, consultations into patient medical record to ensurecontinuity of patient care

-assures compliance to insurance guidelines, regulations according to established standards

-maintains aesthetic presentation of medical records

-directs and manages chart tracking protocol

-reviews patient chart, prior to refile, for provider

-review initials and/or signature

-responsible for accurate notation of discreet confidential and legal information.

Coordinates response, with appropriate authorization, in compliance with established policy for release of patient medical record and/or specific patient information, as requested by the patient, clinic personnel, insurance representatives, hospital departments, and/or attorneys.

Reviews, purges, provides storage, or destroys medical records that are aged according to state and federal law.

Assumes responsibility, and acts as a resource, for knowledge of current legal guidelines affecting medical records management.

Experience Preferred:

Computer, clerical/business; math skills.
:Reference experience with medical records management, clerical and/or computer applications

Education:

High school diploma; GED equivalent with emphasis in math, office/clerical skills, computer applications.

Education Preferred:

Community/Business College Administrative Assistant certification with medical terminology

Knowledge/Skill/Abilities:

-organizational policies, regulations and procedures

-alpha and/or numeric filing processes

-insurance protocols

Skills as demonstrated through:

-work closely with the providers responding appropriately and timely to provider(s) requests

-demonstrate willingness to learn and apply computer processes to daily operations
