The Aladdin and Application Engineering teams within the Aladdin & Technology group use the latest technologies to design and develop applications that make up the firm’s investment management platform. The systems support the full lifecycle of the investment management process, from quantitative risk management to order entry, trade routing and settlement.

Team Overview:

Administrative Assistant within Core Systems Operations (CSO) organization of BlackRock, reporting to Global Head of CSO and also supporting CSO senior managers.

Overview:

Strong orientation to communication, service and flexibility to address the ongoing and changing needs of the head of Core System Operations Team, the reporting managers and their teams to facilitate the smooth operation of the office

Primary Responsibilities:

Act as right hand” person to department’s Head with close communication and interaction to build trust and maximize the departments’ efficiency and leverage his time most effectively
Provide a broad range of administrative assistance with attention to detail, accuracy and communication in all tasks listed below:
Manage Calendar (For head of CSO) - Schedule meetings with fully proficient use of Outlook, including booking conference rooms using the Resource Scheduler, ordering AV services as needed, moving meetings to respond to unexpected events, communicating delays and changes as they occur. And to maintain other Managing Directors’ calendars to a lesser degree.
Handle incoming calls and screen unsolicited telephone calls as instructed ( Head & MDs only)
Coordinate travel arrangements, including staying in touch throughout the trip to respond to or anticipate changes in the schedule (Head & MDs only)
Handle expense reimbursement process in Concur system. (Head & MDs only)
Handle personal daily tasks for the head of CSO as needed
Co-ordinate between department head and direct reports, and other executives and their assistants regarding meetings, materials preparation and open issues
Handle and deliver all mail/Interoffice (Head , MDs)
Regularly review and update the contact list to ensure that information is up to date
Maintain files and information in an organized manner that is easily accessible to the Core System Operations managers
Book conference rooms using the Resource Scheduler , Schedule meetings/Interviews, order AV services as needed, manage materials and coordinate logistics for the CSO teams
Work on on-going and/or short term projects as referred by Head of CSO
Help organize Summits & Town Halls for the CSO group
Coordinate moves within the CSO group as needed
Provide guidance and occasional assistance to other team members and new employees (e.g., using applications such as, Concur /Travel booking, America to go, etc.)
Maintain the office environment presentable by leveraging all resources available (e.g., Facilities, Copy center)
Manage visitor seat allocation in NYC office
Exhibit good business and interpersonal judgment through effective communication, resolution of open issues and decision-making
Maintain consistent business focus throughout the day, coordinating hours to ensure that needs are met on a daily basis
Work well under pressure and time constraint

Show interest and get familiarized with the business of the Core System Operations Group
Show interest and get familiarized with BlackRock operational procedures for Administrative assistants
Establish and maintain cooperative working relationships with other administrative assistants.
Provide a point of contact for Corporate service providers such as hospitality and the mail room staff
Experience:

Advanced computer skills in Microsoft Office Suite including Outlook, Word, Excel, PowerPoint
Familiar with Online application such as Concur, Conference room booking tool, America to go and the Travel booking tool
Experienced in coordinating travel both domestically and internationally College Degree
3 years’ work experience in administrative role
