PURPOSE AND SCOPE:

Support FMCNA’s mission, vision, core values, and customer service philosophy. Adhere to the FMCNA Compliance Program, including following all regulatory and division/company policy requirements.

The IT Administrative Assistant position is responsible for providing daily support to Solutions Vice President of Information Technology. This position requires excellent interpersonal skills, project coordination experience and the ability to work well with all levels of staff and external clients. The position also maintains knowledge of client technology agreements, creates new agreements as needed, and monitors agreement expiration dates.

DUTIES / ACTIVITIES:

CUSTOMER SERVICE:

  • Responsible for driving the FMCNA culture through values and customer service standards.

  • Accountable for outstanding customer service to all external and internal customers.

  • Develops and maintains effective relationships through effective and timely communication.

  • Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner.

PRINCIPAL RESPONSIBILITIES AND DUTIES:

The principal responsibilities and duties may be performed for a variety of internal and external clients.

  • Provides daily support to Solutions’ Vice President of Information Technology and other IT and Solutions staff members

  • Coordinates corporate travel and meetings and develops itineraries or agendas needed. Arranges lodging and meeting accommodations for the Vice President of Information Technology

  • Reviews and appropriates distributes incoming mail and faxes

  • Updates the IT Vice President on the status of any pertinent issues

  • Answers phone calls from customers, clients and vendors on a daily basis. Directs or responds to the the phone calls or voice messages appropriately.

  • Responds to clients and staff, in the professional business manner, on behalf of the Vice President of Information Technology

  • Assists with preparing IT client agreements, monitoring agreement expiration dates, and maintenance of Information Technology client files

  • Reviews, proofreads and prepares documents for the Vice President of Information Technology to include email correspondence, reports and client proposals

  • Works closely with Solutions IT Accounting Specialist to ensure accuracy of client invoices

  • Responsible for helping customers and making their experience pleasant and productive

  • Ensure client data integrity through regular data entry audits, report generation and ongoing training of staff.

  • Maintain and organize shared computer drive

  • Other duties as assigned

EDUCATION:

  • High School diploma or equivalent.

  • Associate’s or Bachelor’s degree in a related field is preferred.

EXPERIENCE AND REQUIRED SKILLS:

  • Minimum 5 years of experience as an Administrative Assistant; preferably in an IT environment.

  • Proficiency with Microsoft Suite is required, especially with Excel, Word, PowerPoint and Outlook

  • Ability to clearly communicate clearly and effectively to the VP of IT, clients and staff

  • Must be able to manage multiple priorities, many with sensitive deadlines

  • Skilled in word processing and business writing.

  • Possess the ability to work in a fast-paced and team-oriented environment

  • Adapt quickly to change

  • Possess a thorough understanding of IT issues and equipment
