Responsible for providing administrative and secretarial support services as required for the Legal Department. The employee works with highly confidential and specialized information and is required to maintain the confidentiality of that information. Reports to General Counsel.
PRINCIPAL DUTIES AND RESPONSIBILITIES
•Greet visitors and screen persons who come to visit the Legal Department.
•Handle all specialized, confidential, or legal files in accordance with file management procedures and files all papers and documents, as applicable.
•Compose legal correspondence, routine documents, PowerPoint presentations and memos as required.
•Prepare records such as resolutions for meetings with the Board of Commissioners, Directors or other staff members.
•Coordinate and draft monthly reports, including department expenditure updates if necessary, to General Counsel.
•Schedule and arrange appointments and conferences.
•Schedule appointments for informal hearings and grievances as needed.
•Make arrangements for meeting rooms, audio-visual equipment and other needed materials.
•Make travel arrangements for General Counsel including registration and plane and hotel reservations.
•Perform work of a confidential nature and relieves supervisor of numerous administrative details such as check requests, paid time off requests, travel advance requests, authorization to travel requests, timesheets and ISM work orders, etc.
•Requisitions, disburses and stores office supplies and equipment for the immediate supervisor and for department.
•Maintain purchase orders/requisitions for department.
•Open, stamp, sort and route daily mail and faxes and files incoming and outgoing correspondence.
•Draft and type outgoing correspondence including inter-office memos.
•Answer phones on all rollover lines.
•Provide miscellaneous duties such as photocopying and transmitting faxes.
•Perform other duties as needed.
•Two (2) years in accredited college or university and a minimum of five (5) years of experience in a business office, with at least three (3) of those years in a legal office environment performing the tasks listed above is required.
•Texas Notary Public, or ability to obtain Notary Public appointment/stamp within three (3) months of employment, is required.
•Advanced computer skills a must, proficient in Microsoft Office products. Knowledge of Microsoft Word and Excel is required.
•Ability to type 60 wpm.
•Must be able to maintain highest level of confidentiality and ethics.
•Attention to detail and self-starter.
•High degree of professionalism necessary.
