Job Description - Administrative Assistant
We are looking for a highly organized, detail-oriented self-starter with a strong customer focus to provide support to the Payments Services Settlement Accounting team based in Houston, Texas. This team is responsible for ensuring proper accounting for business operations, specifically the transaction processing and settlement activities of the company's payments networks. The job will include a variety of administrative support functions to assist the team as a whole, as well as active calendar and meeting management for the Department's Director. Additionally, this role will perform system maintenance tasks for the online reconciliations system used by Accounting Services, T-Recs. This individual must be a team player, as he or she will play an important role in supporting the Accounting Services Team in meeting key deadlines and internal control requirements.
Specific Duties include:
? Provide administrative support to team, as well as department management, such as travel planning and expense report filing.
? Perform calendar and meeting management for Director of department and other management, as needed. Specifically taking ownership of calendar, scheduling meetings and working through scheduling conflicts that arise.
? Data entry of adjustments detail to support completion of monthly settlement balancing reports prepared by accountants.
? Perform system maintenance for T-Recs, such as adding/deleting accounts, adding/deleting users and password resets.
? Ensure proper storage of work products, specifically filing of settlement balancing reports and journal entries, as needed.
? Create and manage appropriate rotation for offsite document storage.
? Process and code invoices into the Ariba Accounts Payable system.
Required Skills and Experience:
? High school diploma or GED equivalent required (Some college desirable)
? 4 years of office and/or clerical experience (Admin. Asst duties preferred)
? Proficiency with Microsoft Office Suite (Excel, Word, Powerpoint)
? Strong data entry skills
? Excellent communication and organization skills, as well as ability to work independently
? Must be able to interact effectively with varying levels of management

? Visio or process flow documentation experience
? Lotus Notes experience
? Document management experience
? Accounting close experience
