: Work collaboratively with the DIRECTOR'S and use initiative to ensure matters pending his response are completed with high quality in a timely manner.
: Provide first-pass handling of the DIRECTOR'S's email and voicemail.
: Arrange meetings and schedule appointments and follow-ups with all levels to ensure accuracy and effectiveness of executive's calendar.
: Arrange and coordinate all aspects of large meetings, lunches, dinners and parties, working effectively with other EAs to coordinate multiple executives' calendars.
: Coordinate and schedule domestic and international travel arrangements understanding the Vice President's needs and preferences.
: Maintain DIRECTOR'S's business files.
: Maintain department call path, answer telephone calls, take messages and forward information to appropriate personnel. Screen calls, redirecting calls to appropriate management or staff.
: Communicate effectively with management team to convey information, collect data or coordinate administrative
: Complete assignments efficiently and effectively using Microsoft Office products (Word, PowerPoint, Excel).
: Track and enter time and attendance. Actively participate in orienting and assuring training for new unit members.
: Coordinate internal moves and office reconfigurations for department, including new employee set up for phone, PC, furniture and supplies.
: Open, sort and distribute mail. Send outgoing mail using appropriate mail service. Distribute requests for information, track progress and follow up on actions taken.
: Manage office supplies.
: Take complete ownership of specific, ongoing projects, independent of manager.
: Consummate professional image representative of the DIRECTOR'S
: Outstanding verbal and written communication skills
: Ten years administrative experience supporting an executive at the DIRECTOR'S level or above
: Deep understanding of corporate organization and support structures to get complex and unusual tasks completed quickly and efficiently.
: Business knowledge which includes knowledge of organizational policies and general business procedures.
: Proficiency in Microsoft Word, PowerPoint and Excel
: A high school diploma or equivalent skills
: Some college course work desirable
